FAQ on Recipient (Contact Database) :
How does it work?
The essence of Gratefy is nurturing relationships and for achieving this very first step is to have an updated, detailed database of your contacts who will be recipient of your contact program.
Recognizing the need for a database for your valued relationships, Gratefy provides you with an option to create your database.
What are the details to be updated in the Recipient (Contact) database?
Basic information relating to your valued contacts / relationships that will help connects over time in multiple ways with ease and simplicity:

Corporate Users have the option to classify their contacts in various categories : This will simplify the gift selection process.
For example, premium customers may be classified as “Premium”
Very important relationships may be classified as “VIP”etc.
How will the database help in the contact process?
Over time as you may deem it necessary to connect with your valued relationships via preferred means: Email | WhatsApp message | Gift | Event or Experience, this information is available at your finger-tips.
For example, you may want to conduct an event exclusively for your VIP clients: this list is available as per your contact data updated.
How can I create a Recipient (Contact) database?
Once you have registered as User, accessing Dashboard >> Contacts, you have the option to create your contact database.
So how simply can you update your contact data? We offer two options:
- - Adding manually record by record
- - Uploading an excel file (bulk records)
You can add information of your recipient 1 by 1 either at Add Recipients or
While executing a mandate for Email, WhatsApp, Gifts or E-Giftcards, you may add new contacts or edit information of existing contacts.
Can I create a database on behalf of multiple Users?
Yes. We recognize that Corporate Users may have specific contact data for relationships managed by specific people.
Provision to create multiple users has been offered and respective contact details can be mapped to a defined user.
For example, Mr. Shyam Kumar, CEO & Mr. Nimesh Patel, CFO of XYZ Ltd. may have distinct list of contacts. Ms. Lila Nair, admin person, can create User ID in Gratefy and use the same id to and have “Add senders” registered for Mr. Shyam Kumar and Mr. Nimesh Patel. There is no need for her to create separate User ids
Hence Emails or WhatsApp messages are designed to be triggered from the Email Address or Mobile number of the “Sender” chosen.
# Note : “Sender” will need to register their mobile numbers and download the Gratefy App for WhatsApp Message Scheduling.
How can I edit / delete my recipient data?
You can log in and modify your Recipient (contact) information at the following link My Contacts
Option has been provided to edit existing records one-by-one or download the database and make changes and upload once again.
If I encounter an issue with upload of recipient data will Gratefy extend support?

Note :
Please note that the email address of a contact as stated in the database will be applied to send email greetings / messages. For successful
fulfillment of the communication, correct, updated email address is imperative. Gratefy will not be responsible for non-delivery of an email
if incorrect email rests for a contact.
Users are advised to periodically review the Contact Database and make suitable additions / edits as required.
It is the responsibility of the User to ensure all details of contacts are complete and correctly updated to facilitate seamless fulfillment of your mandate.
What are the data security measures for ensuring confidentiality and security of contact data?
- - We don’t save social login passwords
- - All entered passwords are encrypted in our database
- - Cookies are encrypted with non-reversible encryption method
- - No card details or payment details are saved at our end, we only the verification code from your authorized bank after the payment.
- - We don’t user your recipient database for any marketing activity, all entered data by you are secure at the cloud hosted server
- - Our website is also hosted on well reputed cloud hosting service provider.
FAQ on WhatsApp scheduling:
What is WhatsApp Scheduling?
Scheduling, as the word suggests, is the option to pre-define an action to be executed on a future date.
With the view of automating WhatsApp messages to be triggered from “Senders”on a specific future date to a targeted audience, Gratefy offers this innovative WhatsApp Scheduling feature.
How does the WhatsApp scheduling work?
An app, “Gratefy” compatible with Andriod and IOS, has been designed and can be downloaded from the Play Store (Andriod) and App Store (IOS),
Users who wish to subscribe to WhatsApp Scheduling, need to download this App on their registered mobile. The Gratefy app is available for download from the following Click here
The message to be sent to specific recipients (contacts) can be designed, selected and saved in advance: the simple steps are outlined below.
On the scheduled day, Gratefy system triggers a notification to the mobile (of the defined sender).
On accessing the Gratefy app downloaded on the Sender’s mobile, the list of messages scheduled for the day will be displayed.
By selecting any scheduled message, a list of recipients is displayed. By clicking on the "Send" option, WhatsApp app is opened and message draft is displayed : All you have to do is send message.

What are the steps to schedule a WhatsApp message?
Just follow these 3 step process:

1. Decide :
- Who do you want to send it to i.e the Recipient and who wants to send it i.e the Sender?

2. Choose
- Chose an occasion
- Chose an Image and message from our gallery or insert your own image.

3. Schedule:
- Plan when you want to send it.
Please note:
Gratefy acts as a facilitator to schedule the WhatsApp message. The WatsApp message will necessarily be sent from the “Sender” registered mobile.
The “Sender’s” mobile should have the Gratefy app on it. You may download it from the following Click here
The sender's mobile app will receive a notification on the scheduled date and time, on clicking the same the Gratefy app opens with a list of messages scheduled for today.
The “Sender” will need to trigger the message on the said date.
“Sender” will be solely responsible for the message being sent to recipient on scheduled date.
What is the validity of the WhatsApp Schedule Plan ?
Any package you have subscribed is valid for 365 days from the date of your purchase
How long ahead can you schedule WhatsApp messages?
You can schedule messages 365 days in advance from the date of purchase of your package
Can I customize a WhatsApp message?
Yes, you have the option to select a message format from the Gratefy message bank or you can upload your own e-card image and compose your own message.
FAQ on Email scheduling
How does the Email scheduling work?
Once you select a “Senders” email address, gratefy system will send an authorisation email to that email address for verification. Once the sender verifies it, the gratefy system will take over and ensure emails are sent out as per schedule from that email address.
The Email to be sent to specific recipients (contacts) can be designed, selected and saved in advance: the simple steps are outlined below.
Gratefy system sends out the email from you email address on the scheduled day and time. But please remember that you need to ensure correct sender and recipient email details. And the sender email id needs to have been verified and accepted by the sender.
Can the Email recipient list be altered?
Yes, you can just go to the Dashboard and make changes in the contact details. Click here
What is the validity of the Email Schedule Plan ?
Any package you have subscribed is valid for 365 days from the date of your purchase
How long ahead can you schedule an Email?
You can schedule messages 365 days in advance from the date of purchase of your package
Can I customize an Email?
Yes, you have the option to select an Email format from the Gratefy drafts or you can upload a design and compose your own message.
Can I have the E-Card with my company logo?
You can insert you company logo in the Gratefy panel and make a company E-Card for sending to your clients
Can I use the same WhatsApp package/ Email package and send message from different mobile numbers?
Yes, you can have different senders (but each sender’s mobile should have the Gratefy mobile app and the email id of each sender should have been verified (ie the email sent to that email address from admin@gratefy.com should have been verified by the sender).
Can I have different designs for different recipients?
Yes, you can select different designs for each recipient or you can categorize your recipients and design as per recipient categories
Can I send different wishes/ messages to same recipient?
Yes, you can. You can choose from the different occasions we have or select “Others” under occasion to schedule your own special day.

Can you explain the rationale behind choice of Annual Gifting Plan products?
The Annual Gift package products have been selected after careful consideration and deliberation on aesthetics, quality, suitability, utility, features to lend personalisation options, trends and price. These are from the perspective of Corporate Gifting.
Why are these specific occasions / days selected?
Pre-packaged plans have either 2 or 4 dates.
We have kept the date in mind the business calendar and festive season where a simple reminder to the client helps in strengthening long term relationship. Quarterly and bi-annual gifting options are available to you.
Personal Gifting - 31st March – As its beginning of a new financial year
Social Gifting – 5th June - Usually no one does gifting during this time, hence receiving a gift at this time would be noticed. The message of this gift is related to a social cause.
Festive Gifting (Diwali/Dussera) – festive season gifting which cannot be missed out. This gift is something the client would like to take home for his family.
Reminder Gifting – 31st Dec / Jan New Year Gifting – As it is a beginning of a new year, it’s a reminder gifting to express gratitude to old & new clients.
The intention is to create a bonding with the recipient.
Can any of these products in the given plan be changed?
No changes to products or occasion are possible for the pre-set annual plans.

Is an option for customised branding offered under the Annual Gift Plan?
A personal hand written note is added to every gift sent to your client. This note will have your name and company name. We don’t encourage logo printing on these products since it’s meant to be a gift for the recipient- we do personal name printing with no extra charges.
What are the delivery timelines?
• Dispatch for FY beginning.

- Dispatch execution on 25th March

How would you compensate for any delays or defective products received by the recipient?
There can be no delays since it is planned. It will always reach 5-6 days in advance. Any defective product will be replaced at no extra charges.
Can we take the gifts on the pre slotted days and give it to our clients ourselves?
Yes that’s fine. We encourage personal handover of gifts. Adds a personal touch. In that case please enter your address for deliveries and the gift packs will be sent to you.

FAQ on Gift Scheduling
What do you mean by “scheduling” products delivery?
Scheduling as the word suggests is defining a future date : Gratefy extends the option to select a date that a product is to be scheduled for execution.
“Schedule day” is the day you expect the product to reach the recipient.
What’s the Scheduling process followed?
Client selects a product (# Selected products are offered under “Schedule a Gift”) *Link to “Schedule a Gift”)
Client decided the Scheduled day – i.e. the day the product should reach the recipient
Client selects recipient /category of recipient (from existing database) or adds new recipient
Client decides message for the gift
Client reviews delivery address/ updates delivery address
Let’s say the client wants product to reach on date X
For this dispatch will be done 10 days in advance - i.e. X-10
For this reminder mail will go to client X-20 days
Edits to mandate (e.g. change of address etc.) will be accepted till X-15 days
Under “Scheduling” feature, cancellation is accepted for specific products. Please refer to refund policy of each product. But for refund on any schedulable products will be subject to 10% deduction.
I need to make an urgent delivery. What are the express delivery schedules?
For orders received till 3 PM, we can deliver by 9 PM on the same day.
For orders received post 3 PM, we deliver next day between 9 AM and 9 PM.
What kind of experiences do you help organise?

Which are cities where you organise Events and Experiences?
Currently, we are concentrating on organising them only in Mumbai
What are E-Gift cards?
E-Gift cards are sent on email. These emails contain a redemption code and a pin number. The recipient can redeem these toward the purchase of eligible products as per policy allowed by the respective brands. Purchases are deducted from the redeemer's Gift Card balance. No fees or charges apply to Gift Cards.
Can gift cards be cancelled or returned?
Gift cards once purchased cannot be cancelled or returned.
Are the gift cards physical cards?
We don’t send any physical gift cards. The gift cards (E-Gift cards) are simply sent on email and can be redeemed using redemption code and pin at online or offline platform of the brands (as specified by the brand)
Do you do Bulk quantities? Will the rates be different?
We cater to bulk gifting > 100 pcs and scheduled/ personalised bulk WhatsApp or Email requirements. Please share an enquiry at marketing@gratefy.com and we will revert to you in 24-48 hours.
